This Privacy Policy describes how Microelectra IT Corporation ("Company," "We," "Us," or "Our") collects, uses, processes, and shares the information provided by our clients, who are primarily educational institutions ("Clients" or "You"), through our School Management Software ("Software") and related IT Services ("Services").

By using the Software or Services, You acknowledge that You have read and understood this Privacy Policy.

2. Information We Collect

We primarily process data on behalf of our Clients. The specific data collected is determined by the Client's use of the Software. This includes:

2.1. Client Information (Administrative Data)

Contact Data: Names, email addresses, and phone numbers of administrative staff and key contacts.
Billing Data: Payment details, invoicing history, and subscription information.

2.2. Student and Educational Data (Processed on Your Behalf)

As a data processor, we handle this data strictly according to Your instructions. This data may include, but is not limited to:

Student names, IDs, dates of birth, and contact information.
Academic records, grades, attendance, and disciplinary history.
Parent/Guardian contact and emergency information.
Staff and employee data (names, roles, payroll information).

3. How We Use Your Information

We use the collected information for the following primary purposes:

Service Provision: To operate, maintain, and provide the features and functionality of the School Management Software.
Support and Maintenance: To deliver IT Services, technical support, and respond to Client inquiries.
Billing and Administration: To process payments, manage subscriptions, and send necessary notices.
Improvement: To analyze usage patterns (aggregated and anonymized) to improve the Software's performance and features.
Legal Compliance: To comply with applicable legal obligations and enforce our Terms and Conditions.

4. How We Share Information

With Your Consent: We will share Student and Educational Data only as instructed and authorized by the Client.
Service Providers: We may share data with third-party vendors and service providers (e.g., hosting providers, cloud storage, payment processors) who assist us in providing the Software and Services. These providers are contractually obligated to protect data confidentiality.
Legal Requirements: We may disclose information if required to do so by law or in the good faith belief that such action is necessary to comply with legal processes or protect our rights or the safety of the public.

5. Data Security and Retention

Security: We implement robust administrative, technical, and physical security measures (access controls, and regular audits) to protect Client Data against unauthorized access, disclosure, alteration, or destruction.

Retention: We retain Client Data for as long as your account is active or as needed to provide the Software and Services. Upon termination of the agreement, we will either return or securely delete Client Data in accordance with the terms specified in our separate Service Agreement.

6. Your Data Rights and Choices

Since the Client (the educational institution) is the primary data controller, any requests regarding access, correction, deletion, or objection to processing of Student or Staff Data must be directed to the Client's administration.

7. Children's Privacy

Our Software is intended for use by educational institutions and is not directed at children under the age of 18. We process children’s personal information only on behalf of the Client, who is responsible for obtaining parental consent where legally required.

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify You of any material changes by posting the new policy on our website or within the Software, and updating the " 24-04-2024" at the top.
